Context
Generative AI (Gen AI) is transforming communications and modern workplaces. Like most teams, AMS is cautiously exploring the potential of Gen AI to facilitate and elevate our work. This policy document explains how we are doing so, and what our clients and colleagues can expect.
Our approach to using AI
By far most of our work is still undertaken by humans. We brainstorm, write, discuss, design and research most tasks and topics manually.
We use Gen AI tools like ChatGPT and Gemini in some of our work, to explore new ways of thinking, to save time on research or repetitive tasks. We want our work to continue to grow in depth and quality, and to keep our services affordable for the purpose-driven organisations we serve.
Example use-cases
We may proactively use Gen AI for tasks such as:
- Proof reading texts
- Summarising reports
- As a supportive tool for research (but facts supplied by Gen-AI tools must always be thoroughly checked)
When using an AI tool, we then manually assess, review and refine all content. At least one, and usually two or more, comms professionals review each output before it is considered ready to share with an external party.
Productivity platforms are increasingly embedding (Gen-)AI tools within their software. We may use AI enhancements as part of our normal usage of these platforms. Our office tech stack consists of the following main tools:
- Google Workspace: including Chrome, Mail, Drive, Docs, Sheets, Meet
- Trello
- Canva
- Adobe Creative Suite
- Mailchimp
Transparency and procedures
Transparency is one of our core values. When using Gen-AI to ”co-pilot” a task, our personnel will:
- Inform the client (or the person commissioning the work) how AI has been, or will be, used to contribute to the output. We are happy to share details of prompts and responses with our collaborators and clients, on request.
- Protect data privacy in line with our Privacy Policy. Any data used to train or inform AI tools must comply with GDPR and other relevant data protection laws. In brief: we do not paste clients’ information into Gen-AI tools.
- Ensure the human review of all content for accuracy, quality and creativity.
- Understand AI ethics, recognising that is our duty to stay informed and proactively protect against misinformation, bias, or harmful content.
- Align with our Code of Conduct (and our clients’ where applicable).
If a client wishes us to avoid the use of Gen-AI in a task, we respect this and will happily comply. We ask that the client send such a request to angela@angelamsolomon.com.
Learning, developing and staying informed
AI-driven technologies continue to evolve, and so we must continue learning and adapting. As a member of the Chartered Institute of Public Relations, will draw on industry benchmarks and guidance on Ethics and AI usage. We seek to ensure we stay informed about how the communications sector is using Generative AI to enhance its work, and avoid pitfalls.
